Not every category applies to every inquiry, project, or visitor.

4. How we collect information

We collect information when you contact us, send a brief or RFP, request a proposal, submit casting or crew material, work with us on a production, join a supplier or vendor process, or use this website.

We may also receive information from third parties, such as clients, agencies, production companies, casting teams, suppliers, or partners, where it is needed for a production or business purpose.

5. How we use information

We use information to:

6. Legal basis for using information

Where required by applicable law, Versana relies on one or more legal bases to use personal information, including:

  • taking steps before entering into a contract, responding to inquiries, preparing bids, and managing project discussions
  • performing a contract or production arrangement
  • legitimate business and production interests, including production planning, crew, supplier, casting, logistics, communication, and website operation
  • compliance with legal, accounting, tax, immigration, permit, insurance, or regulatory obligations
  • consent, where required, including for certain casting, talent, minor, cookie, marketing, or publication uses

Where consent is used, it may be withdrawn where applicable, subject to any legal, contractual, production, or record-keeping requirements.

7. Production, casting, crew, vendor, and supplier information

Production work often requires practical information to move a project safely and clearly, including crew details, casting materials, supplier and vendor information, travel needs, permit information, production documents, and payment details.

We use this information only for the production, casting, supplier, or business purpose for which it was provided, or where needed for legal, accounting, or operational records.

8. Casting and talent materials

Casting photos, videos, reels, headshots, and talent details are reviewed only when requested for a casting, production, or related business purpose.

Versana does not claim ownership of casting materials submitted for review. Casting materials are not published or shared publicly without the appropriate approval or release. Materials involving minors require parent or guardian permission where applicable.

9. Minors

If a production, casting, or submission involves a minor, additional care is required. Parent or guardian permission may be needed before materials are reviewed, used, stored, shared, or published, including casting materials, identity or travel documents, and release forms connected to a minor's involvement in a production.

Specific release and consent wording is handled through the relevant production documents.

10. Cookies and website analytics

This website may use cookies and similar technologies to operate the site, understand website use, and improve performance.

Some cookies may be necessary for the website to function. Analytics or non-essential cookies, where used, are handled according to applicable law and any cookie choices available on the website.

Users can also control cookies through their browser settings.

11. Who we share information with

We may share information with Versana team members, clients, agencies, production partners, casting teams, crew, suppliers, vendors, hotels, travel providers, service providers, accountants, and legal advisors, where needed for the work or where required by law or by a competent authority.

Information may also be shared in connection with a business transfer, such as a merger, acquisition, or sale of assets, where permitted by law.

We share only what is needed for the relevant production, inquiry, legal, or business purpose.

12. International work and service providers

Versana works internationally and uses standard business systems and service providers for email, website hosting, file storage, project communication, production coordination, and related business operations.

This means information may be stored, accessed, or processed in countries other than the country where it was first provided.

Where this happens, Versana limits access to the people, teams, partners, and service providers who need the information for the relevant inquiry, production, casting, supplier process, legal, accounting, or business purpose.

Where applicable law requires additional safeguards for international handling or transfer of personal information, Versana takes reasonable steps to apply appropriate contractual, technical, organizational, or service-provider protections.

13. How long we keep information

We keep information only as long as needed for the purpose it was collected, for production and business records, for legal or accounting needs, or for other legitimate operational reasons.

We may delete or archive information when it is no longer needed.

14. Security

We use reasonable administrative, technical, and organizational measures to protect information. No website, email, file system, or production communication method can be guaranteed to be completely secure.

15. Your rights and choices

Depending on where you are and which law applies, you may have rights to access, correct, update, delete, restrict, object to, withdraw consent, request a copy of, or ask about the use of your personal information.

You may also have the right to complain to a competent data protection authority where applicable.

To ask about your information, contact versana@versana.co. We may need to verify your identity before responding.

16. Third-party links and services

This website may link to, or include, third-party websites, platforms, or embedded services. Versana is not responsible for the privacy practices or content of those third parties.

17. Contact

For any questions about this policy or how your information is handled, contact versana@versana.co.

18. Updates to this policy

We may update this policy from time to time. The latest version will be posted on this page with the updated date.

19. Requested production materials

Requested production materials are materials Versana asks for in connection with an inquiry, RFP, bid, active production, casting, crew review, supplier process, vendor onboarding, portfolio review, or production conversation.

These may include briefs, decks, references, scripts, treatments, reels, portfolios, casting materials, supplier details, budgets, schedules, designs, or production documents.

Requested materials are handled under the terms above and used for the purpose for which they were requested.

20. Unsolicited material

Unsolicited material means any material sent to Versana without being requested, or outside the purpose for which Versana requested it. Versana does not accept or review unsolicited material.

This may include casting materials, headshots, reels, CVs, portfolios, supplier offers, vendor proposals, pitch decks, designs, ideas, concepts, treatments, scripts, formats, stories, characters, artwork, photographs, videos, audiovisual works, music, sound recordings, AI-generated concepts, moodboards, project proposals, or similar material.

If someone sends unsolicited material, Versana has no obligation to review it, keep it confidential, return it, respond to it, or compensate the sender. Versana may delete, ignore, return, or dispose of unsolicited material at its discretion.

This helps avoid misunderstandings if Versana later develops, produces, services, or works on a project that appears similar to material sent without being requested.

21. How unsolicited material is handled

If unsolicited material is sent to Versana, we may keep a limited record where needed and may delete, ignore, return, or dispose of the material.

Please do not send material unless Versana has requested it.
