THE BRIEF
A Live Content System Built to Move With the Summit.
The brief called for a live content system that could move with the summit itself: speaker access windows, interviews, fireside chats, portraits, BTS capture, approvals, and platform-ready delivery running alongside active programming. The scale of the summit created a dense production environment, with multiple stages, high-level speakers, guest movement, and changing access windows moving in parallel.

VERSANA'S ROLE
The Production Layer Behind a Live Summit.
Versana Productions built the on-ground production structure behind the summit's content operation: filming teams, photography units, sound, interview setups, portrait capture, copywriting, transcription, translation, post-production, retouching, mobile post-production setup, and approval routing working in parallel and in real time across the event. Working alongside VaynerMedia, Versana coordinated the content workflow between stages, interview rooms, and the event floor, with VaynerX, APCO, and RAA aligned as part of the wider event and communications structure.
RESPONSE & EXECUTION
Capture, Approve, Deliver, in Step With the Event.
The production ran as a capture-to-delivery workflow. Interview rooms, portrait moments, social capture, and event-floor coverage moved around live programming, with crew repositioning as speaker windows opened and closed. Versana managed same-day and end-of-day edits through a mobile post-production setup, with editors, monitors, and server workflow supporting retouching, approval routing, copywriting, transcription, and translation from capture to finished asset throughout the summit.
The result was a live content operation that delivered 400 platform-ready assets across the two-day summit, with Versana holding the capture, copywriting, transcription, translation, post-production, approval, and delivery workflow from the event floor to final output.
PRODUCTION PROOF
What Versana Handled on the Ground
Live Event Social Coverage
Versana covered live social media and creator-led content across the summit floor and assigned programming areas, tracking sessions, speaker movement, and event activity as the schedule moved through both days.
Interviews, Fireside Chats & Content Creator Coverage
Interview rooms, fireside chat coverage, and creator-led content were built around protocol, scheduling, filming process, sound, lighting, timing, and speaker access windows, including sessions with Foundation C-level leadership, VIP guests, and professors.
BTS, Social & Same-Day Content Flow
Behind-the-scenes capture and social-first content moved through an edit and approval pipeline built for same-day and end-of-day delivery. Throughout the summit, Versana operated a mobile post-production setup with editors, monitors, and server workflow designed for fast social-first content production.
Portraits, Photography & Finishing
Portrait sessions and speaker photography carried through retouching, graphic design, illustration design, and approval to finished stills, contributing to the assets delivered for the Foundation's communications.
